Migrate wholesale from Shopify to Order41

Plenty of brands run wholesale through the same Shopify store that serves consumers, using tags, discount codes, or a password-protected page. This guide covers moving that wholesale side into Order41 and keeping the two systems in step.

Should you do this?#

Shopify is a consumer storefront. It can be bent into taking wholesale orders, but the shapes do not match: wholesale needs size runs ordered as a block, pre-orders against delivery windows, price lists per account, order minimums, and payment terms rather than a card at checkout.

If your workarounds have started to stack — a hidden collection, a discount code per retailer, a spreadsheet to track what was really confirmed — the storefront is being asked to do a job it was not built for.

What stays in Shopify#

Your D2C store stays exactly where it is. This is not a replatform; it is splitting two businesses that were sharing one system. Shopify keeps consumer orders, and Order41 takes wholesale.

Product data usually needs to exist in both. Order41 exports product data as a Shopify-ready CSV, so the catalogue can be maintained in one place and pushed across rather than typed twice.

Getting your catalogue across#

Export your products from Shopify as CSV. The export includes variants, which map to colourway and size in Order41, along with prices and image URLs.

Two things need attention in the mapping. First, Shopify prices are retail — your wholesale price list is a separate set of numbers, and this is a good moment to check it rather than inherit it. Second, Shopify variants carry no notion of a delivery window, so pre-order styles need their dates added after import.

Images come across by URL, so they do not have to be downloaded and re-uploaded.

Customers become partners#

Wholesale customers tagged in Shopify become partners in Order41. The useful difference is that a partner is a business with several contacts, multiple addresses, its own price list, and payment terms — rather than a customer record with a tag.

Sales reps and agencies can be given their own access, which is the part that is genuinely hard to reproduce in a storefront.

Before you switch#

  • Every active style is in Order41, with the right colourways and size runs.
  • Prices are correct per currency and per price list.
  • Your partners exist, with the right addresses, contacts, and payment terms.
  • Open orders from the old system are either closed there or recreated here.
  • One buyer has placed a real test order end to end.
  • Your team knows which system is authoritative from which date.

Common questions#

Do I have to close my Shopify wholesale channel immediately?

No. Run the next selling window in Order41 and leave existing Shopify orders to ship from there. Close the wholesale route once nothing open depends on it.

Can stock stay in sync between the two?

Order41 exposes available-to-sell to buyers and can export product data back to Shopify. How tightly you couple the two depends on whether you hold one pool of stock or allocate separately for wholesale.

What about wholesale apps I already pay for?

List what each one does before you cancel anything. Price lists, minimums, and net terms are native here, but any app doing something unusual is worth checking against your setup first.
