Should you do this?#

Because both systems are built around collections, seasons, and buyer access, this is a mapping exercise rather than a rethink. The real cost is the habit change for buyers and agents who already know where to log in.

Switch between selling windows. A migration in the middle of a season means two live systems taking orders, which is where reconciliation problems start.

Export collections and accounts#

Retrieve product data, images, and your buyer list. Collections map onto drops in Order41 — the shareable, orderable set you send to a partner — so a collection per season translates fairly directly.

Confirm what your plan allows you to export before giving notice. If a clean export is not available, a PDF linesheet can go to the product import agent, which reads it and returns a structured file for review.

Rebuild access and pricing#

Who sees which collection, at which prices, is the part that does not travel in a product export. Map it before the switch: partners per drop, reps per account, and price lists per market or currency.

Groups make this quicker than it sounds, because a drop can be shared with a set of partners at once rather than account by account.

Tell your buyers early#

Buyers sign in with their work email and a six-digit code, so there is no password to set or lose, and standard buyer accounts are free. That makes the message to your accounts a short one, but it still needs sending before the linesheet lands rather than with it.

Before you switch#

• Every active style is in Order41, with the right colourways and size runs.
• Prices are correct per currency and per price list.
• Your partners exist, with the right addresses, contacts, and payment terms.
• Open orders from the old system are either closed there or recreated here.
• One buyer has placed a real test order end to end.
• Your team knows which system is authoritative from which date.
