Migrate from Zedonk to Order41

Zedonk covers a wider span than a B2B ordering platform: production, stock, invoicing, and back-office alongside order management. That changes the migration question from "how do I move everything" to "which part am I actually replacing".

Should you do this?#

Decide first whether you are replacing the whole system or only the selling layer. Many brands keep their production and finance back office where it is and move the part buyers touch: linesheets, sharing, ordering, and rep access.

That split is usually the better trade. Back-office migrations are slow and risky because invoices, production orders, and historical accounts all depend on each other. The selling layer has a natural boundary — a season — and can be moved without touching any of it.

What to move, and what to leave#

A workable division looks like this:

  • Move: linesheets, drops, buyer and agency access, order collection, order confirmation.
  • Keep, at least initially: production orders, fabric and component management, invoicing, accounting exports.
  • Decide case by case: stock. Whichever system holds it must be the one buyers see availability from.

Keeping two systems in step#

If you keep a back office, the two need to exchange data rather than be re-keyed. Order41 offers a REST API, webhooks for events, and custom integrations that are most often built against ERP systems, so confirmed orders can flow onward without anyone retyping them.

Agree the direction of travel before you build anything: which system owns product data, which owns stock, and which owns the customer record. Migrations get painful when two systems both believe they are authoritative.

Moving the product data#

Export styles, colourways, size runs, and prices per season. If the export is awkward to obtain or comes out in an unhelpful shape, the product import agent will read a spreadsheet or a PDF linesheet and return a structured file to review before import.

Season structure and delivery windows are worth setting up in Order41 before importing products, so styles land in the right window rather than needing to be re-dated afterwards.

Before you switch#

  • Every active style is in Order41, with the right colourways and size runs.
  • Prices are correct per currency and per price list.
  • Your partners exist, with the right addresses, contacts, and payment terms.
  • Open orders from the old system are either closed there or recreated here.
  • One buyer has placed a real test order end to end.
  • Your team knows which system is authoritative from which date.

Do I have to replace Zedonk completely?

No, and most brands do not start there. Moving the selling layer first is lower risk, and the back office can follow later or stay where it is.

How do confirmed orders reach our production system?

Through the API or webhooks. Custom integrations with ERP systems are common, so orders can be pushed onward as they are confirmed rather than exported by hand.

Which system should hold stock?

Whichever one buyers see availability from. Splitting stock across two systems without a sync is the most reliable way to oversell a style.
